Staff - New starter guide
A brief introduction of the key services and resources available to staff and researchers.
Research students, in most cases, receive the same services as staff, so where we refer to staff, this will also include research postgraduates.
IT Account / User account
Your IT account consists of your email address, Username, and Password. These form what we’ll refer to as your LU or University account.
You are responsible for any actions taken using your login details; therefore, it is important to keep your username and password secure.
From a security standpoint, you should never reuse your º¬Ðß²ÝÊÓƵ email address and password to register for other online services – if any of those other sites are compromised, criminals may then have access to your University IT account and access to University Data.
When using your IT account you are bound by the Acceptable Use Policy (AUP)
University-managed device
The staff desktop service covers both Windows and Mac service and it’s the service that we provide for your university-approved laptop or PC. Having a managed service allows the university to manage thousands of devices from a central location.
We advise you to follow these 2 simple steps to help support with our safety and security:
- Connect your device to the VPN at least once a week and continue to work while connected for at least an hour or so.
- Restart your laptop on a regular basis to install updates, deploy policy changes and apply security fixes.
Multi-Factor Authentication
Once you have your IT account details you will need to set up Multi-Factor Authentication (MFA) on your mobile device.
To securely access services whilst working remotely (off campus), staff will be required to install and use Multi-Factor Authentication (MFA) and the Virtual Private Network (VPN).
Dynamic / Remote working
VPN
The Cisco Secure Client is an app that connects your laptop or computer to the University’s network from anywhere, as long as you are connected to the internet. It is a pre-installed application on your LU staff-managed device.
All your internet traffic goes through the VPN to º¬Ðß²ÝÊÓƵ, allowing you access to University internet-based resources and services which could otherwise be restricted to on-campus use only.
University mobile devices
If you require a mobile device for your role, more information can be found under Mobile Phone Procurement.
All new accounts created that connect a mobile device (e.g., a smartphone or tablet) to University data and services, will be required to have a minimum 8-character PIN or password to unlock the device.
The University uses Intune for iOS to track and secure its assets. Enrollment in the service is mandatory for all university-owned iOS devices.
File Storage: MS Teams and Onedrive
When deciding where to store documents, you need to take into account the document's life cycle.
In the majority of instances, you will want to create the document in a specific MS Team instead of your personal OneDrive to ensure the right people have access.
