Stages in the casual recruitment process
The below provides an overview of the recruitment process and stages you need to follow before a casual worker commences work to ensure they are on dashboard ready to be assigned work.
1. Advert and selection process
An advert or an expression of interest including a selection process is carried out by the school/service to identify a pool of workers.
2. Portal access
Once a worker has been identified and selected the casual worker needs to be sent a link to the iTrent causal worker portal (refer to the guidance for iTrent) 
3. Sign up confirmation
The worker should provide you evidence of their AP reference number as confirmation, this is the applicant reference number that is populated on the screen when they press submit following completing the portal link.
4. Casual worker arrangement
A term of engagement letter is issued automatically to confirm to the individual once they have signed up to the casual portal. The email outlines the next steps the worker needs to take including providing evidence of their RTW.
5. Right to work check appointments
Right to work checks are usually completed within school/services either via Right to Work appointment days or arranged directly with the staff or student:
- Where RTW checks cannot be completed within schools/services, the individual can be instructed to come and do this check with Recruitment.
- Right to Work checks for º¬Ðß²ÝÊÓƵ London campus should be completed by the HR Administrator at the London campus.
- A previous RTW check can be reused if this is in date and the individual has worked within the 3 months prior to a shift being worked.
- A Right to work check must be completed prior to a casual worker given any work.

6. Onboarding completion
Once a RTW check has been completed and the Recruitment team have associated the individual the HR Services team will transfer the individual over on the casual portal. Please allow 72 hours for the individual to then appear on the dashboard system.
7. Allocating work
Any pre-casual workers can be offered work on Dashboard.
- It is your responsibility to ensure work offered does not exceed any visa restrictions.
- On the system you can approve/decline timesheets in Dashboard.
- You can cancel any shifts that are not booked.
- Once shifts are booked these cannot be cancelled.
